In the kick-off meeting, the Project Manager should chair the meeting and ensure that the following points and actions are completed.

  1. Overview of the RFP – Sales
  2. Relationship with the customer and any intelligence – Sales
  3. Questions we have asked and answers – Sales
  4. Win themes – Sales
  5. Win themes – RFP Faculty Lead
  6. Technical requirements – Sales to describe what is needed and to discuss with Technical Leads on the call
  7. Project Manager – confirm roles and responsibilities, timescales and when the bid is due in
  8. Project Manager – confirm project plan and who needs to respond by when to ensure all the information is there for pricing and scoping
  9. Talk around – every person confirms what they are responsible and accountable for and when they need to deliver it

After the meeting

Project Manager to share the project plan and who is responsible for what part of the bid and when they need to deliver the final finished response. The Project Manager will then hold each person responsible and ensure the bid deck and pricing is coming together. The deck should always be live (up until the point it is sent to graphics*) so the COO can check it any given time.

** The bid deck is taken offline while graphics work in underway and put back online once graphics is complete.
